1. Who we are
Evolve Performance is run by Evolve Performance Coaching Ltd, 142 Duffield Road, Derby, DE22 1BG. We provide online coaching, training programmes and memberships through evolveperformance.uk. We are the data controller for the personal data described in this policy and are registered with the Information Commissioner’s Office (ICO), registration number ZC276286.
Questions about your data: email fin@evolveperformance.uk.
2. What we collect
- Contact and account details: name, email, phone number, login details and membership level.
- Payment details: card payments are processed by Stripe (through WooPayments). We see what you bought and when, but we never see or store your full card number.
- Consultation and coaching information: date of birth, height, body weight, goals, training history and availability, equipment, events, and anything else you tell us in your consultation form, consultation call, questionnaires and check-ins.
- Health information: injuries, pain, medical conditions, medication, sleep, stress, nutrition and dietary requirements, and (for 1-to-1 clients) daily metrics such as weight, steps, heart rate, calories and macros, plus progress photos and exercise videos you choose to send.
- Training data: sessions completed, weights, notes and journal entries in the training apps we use.
- Messages: emails and WhatsApp messages you send us.
- Website data: IP address, browser and device type, and pages visited, collected through cookies, analytics and advertising pixels. See our Cookie Policy.
- Marketing data: if you join our waitlist, download a free resource or sign up to emails, your name, email and how you use those emails.
3. How we use it
- To set up your membership, take payment and manage your account.
- To write, deliver and adjust your training programme, and (for 1-to-1 clients) to review your check-ins and give feedback.
- To keep you safe: we use your health and injury information to make sure your training is appropriate.
- To contact you about your coaching, your account and changes to our services.
- To send marketing emails, only where you have agreed. You can unsubscribe at any time.
- To run, secure and improve our website and services, including measuring which content and adverts work.
- To meet legal, tax and accounting duties.
4. Our legal reasons (UK GDPR)
- Contract: to provide the membership and coaching you signed up for.
- Explicit consent: for health information, which is special category data. We ask for this when you complete your consultation form. You can withdraw it at any time, but we may then be unable to coach you safely.
- Consent: for marketing emails and for non-essential cookies, analytics and advertising pixels.
- Legitimate interests: running and improving our business and website, keeping it secure, and keeping records in case of a dispute.
- Legal obligation: keeping financial records.
5. Who we share it with
We do not sell your data. We share it only with services that help us run Evolve Performance, under contracts that protect it:
- Website hosting and email: Hostinger.
- Payments: Stripe (through WooPayments).
- Training and coaching apps: TeamBuildr and 1Fit.
- Client records and documents: Google (Google Drive and Google Sheets).
- Messaging: WhatsApp (Meta) and email through Hostinger.
- AI tools: we use AI assistants (such as Claude by Anthropic) to help us organise information, draft programmes and draft check-in feedback. A coach reviews everything before it reaches you.
- Website analytics and advertising: Google Analytics and Google Tag Manager, Jetpack (Automattic), Meta Pixel and TikTok Pixel.
- Coaches working with Evolve Performance, including Ryan James Wilson, who only see the clients they coach.
- Professional advisers (such as our accountant) and authorities, where the law requires it.
6. International transfers
Some of these providers store data outside the UK, mainly in the USA and the EU. Where they do, we rely on UK adequacy regulations (including the UK-US Data Bridge) or the UK International Data Transfer Agreement or Addendum to protect your data.
7. How long we keep it
- Coaching, health and training information: while you are a client and for 6 years after your membership ends, so we can deal with any questions or claims, then deleted or anonymised. You can ask us to delete it sooner and we will do so unless we need to keep it for a legal reason.
- Payment and financial records: 6 years after the end of the financial year they relate to, as required for tax.
- Marketing data: until you unsubscribe or ask us to delete it.
8. Keeping it secure
Access to client information is limited to the coaches who need it, accounts are password protected, and we use reputable providers with strong security. No system is completely secure, but we take reasonable steps to protect your data and will tell you and the ICO about any serious breach as the law requires.
9. Your rights
You can ask us to: see a copy of your data; correct it; delete it; restrict or object to how we use it; send it to you or another provider in a usable format; and stop marketing at any time. Where we rely on consent, you can withdraw it at any time. Email fin@evolveperformance.uk and we will reply within one month.
If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint, though we would appreciate the chance to sort it out first.
10. Under 18s
Our memberships and coaching are only for people aged 18 and over. We do not knowingly collect data from anyone under 18. If you think someone under 18 has given us their details, please contact us and we will delete them.
11. Changes to this policy
We will update this page when anything changes and show the new date at the top. If a change is significant, we will let current members know by email.
